Job Description
Description of Job Duty:
The purpose of this position is to provide office operations for the Office of Internal Audit and Enterprise Risk Management functions, which includes providing full support to the Chief Audit Executive and audit and risk management staff, which may involve occasional overtime. This position manages calendars performing significant meeting coordination in addition to coordinating department reporting and university-wide communication, including senior leadership and Board level communication.

Responsibilities
Essential Functions:
1. Executive assistance for the Chief Audit Executive (50%) - scheduling & coordinating meetings, travel, & training, answering phones, administration of the Audit Committee meeting materials as needed, handling confidential and sensitive information, communicating with university constituents including senior leadership, the Audit Committee, and external auditors, including the state, preparing and coordinating written correspondence, reports & various communication as needed, & assisting with Audit Committee meetings as needed.
2. Administrative support for the Enterprise Risk Management Function and Audit Staff (15%) - scheduling & coordinating meetings, travel, & training, answering phones, maintaining risk assessment and related control information, & assisting with written reports or communication for the office staff.
3. Quality Assurance Improvement Program Maintenance (15%) - Organizing and maintaining documentation to support the Office of Internal Audit's required ongoing quality assurance improvement program (QAIP) & coordinating periodic external reviews, including documentation & travel coordination for other executives.
4. Office Administration (15%) - managing administrative office operations with minimal supervision, including greeting visitors, answering phones, coordinating office maintenance, administering office contracts, ordering supplies, reconciling the office account(s), & other duties as needed.
5. Audit & Advisory Reviews (5%) - assisting with various audits or reviews by gathering, organizing, or verifying information for compliance or accuracy and coordinating & maintaining documented department surveys.

Work Hours:
Typical hours are Monday-Friday, 8:00 a.m. - 4:30 p.m. Additional hours if/when needed.

Salary:
Commensurate with education and experience. Level P3, Grade 12.

Minimum Qualifications:
Bachelor's degree from an accredited institution. Four years of related professional experience.

Preferred Qualifications:
Bachelor's degree from an accredited institution in a business-related field and/or a master's degree. One or more years' experience supporting an executive level position in addition to experience publishing materials to Audit Committee or Board of Trustee members in a Board specific system or similar form. Eight or more years professional experience. Certified Administrative Professional (CAP).
