Assistant to the Director
Position Summary:
The Interior Alaska Campus is seeking a well-organized, friendly, and motivated Individual to join our team. In this role you will provide comprehensive support to the campus director.
Duties:
Advisory Council: Maintain IAC Council minutes, bylaws, resolutions, current directory of Council Members, track Council membership elections and vacancies. Maintain, process and provide council with advisory council evaluations for the Director. Assist with coordinating travel for Council Members. Assist with coordinating, in person and Zoom, meeting logistics for the Council.
Fiscal: Reconcile weekly and monthly departmental Pro-Card statements for all procard purchases. Utilize CRCD's Purchase Requisition process, then ensure accurate funding for charges on both unrestricted and restricted accounting. Research expenditure transactions and complete cost transfers in a timely manner to comply with 60 day cost transfer policy or project end dates. Prepare and maintain soft ledgers for campus inventory and for computer refresh plans. Process petty cash vouchers.
Building Coordinator: Key issuer, oversee building and grounds maintenance. Ensure building safety standards are in line with UA policy and expectations. Coordinate and arrange surplus pick up as needed.
Administrative: Provide complex administrative duties to the Campus Director including but not limited to: correspondence, communicate regularly on campus issues as they arise; answering the main phone line; process information to inform communication with IAC Campus Centers. Assist with conferences, and special events. Take minutes of meetings and distribute relevant information to appropriate staff, faculty and council members in a timely manner. Manages extensive written, electronic and oral communication for the Director's Office. Track critical projects ensuring deadlines are met and necessary actions occur. Provide oversight in planning and processing travel for special group activities and Directors travel needs. May involve occasional work in evenings and on weekends. Oversee development of course flyers for campus-wide use. Coordinate the BLUE Instructor Evaluation Process and manage IAC's other course evaluation systems. Assist with development of course flyers for campus-wide use. Collection and submission of all IAC course syllabi to be maintained in the CRCD archive. Maintain and schedule the Director's calendar as needed. Support programs as requested by the Director. Other duties as assigned.

Strong organizational skills.
Ability to manage multiple assignments and respond to shifting priorities by remaining flexible and positive.
Must have strong customer service/interpersonal skills.
Skills needed in problem solving and analytical thinking.
Preferred Experience & Education:
Two years progressively responsible office/administrative experience or an equivalent combination of training and experience.
Required Experience & Education:
Associates Degree or equivalent experience. Familiarity with Native and rural issues/ organizations and state agencies.
Salary Information:
This is a full-time, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule, Grade 78, based on education and experience.
