Events Manager

Events Manager
Primary Purpose:
The Events Manager in the School of Health Sciences (SHS) is responsible for managing all School of Health Sciences department, program, student and alumni events that enhance success and engagement for all the programs in the SHS.
Essential Functions:
- Oversees planning and coordination of program specific events (white-coat ceremonies, scholarship colloquiums, graduation banquets, alumni events, etc.) as well as school-wide alumni events (SHS involvement in Pacific homecoming and SHS all-program alumni events). This may include in-person and virtual events, volunteer committees, meetings, and online initiatives.
- Manages SHS school wide events (SHS day, commencement, Employer Showcase) and supports departments in programmatic event planning and implementation.
- Develops and executes a project management plan for each event. Compiles invite list from staff feedback and Banner, develops event attendance goals and objectives, captures contact and attendance information in Banner, surveys attendees for feedback, and reports on overall results to internal and external constituencies. Ensure events are executed within allotted budget and deadlines are met. Oversees volunteer and student support for events. Employs strong organization skills at big picture level and demonstrates ability to drill down and follow-up on details, ensuring timely completion and program management of all phases of an event/project.
- Plans and manages the logistical and technical aspects of development and alumni relations events with campus partners, including securing venues, catering, parking arrangements, contracts, etc.
- Serves as the liaison and collaborates with events and alumni relations colleagues across other schools/units at Pacific, central events and development / alumni relations teams, and location specific events teams/resources to ensure events are efficient and effective, utilizing resources available.
- Assists the SHS Director of Marketing and Communications with the development of content for event promotional materials (invitations, event surveys, alumni surveys, etc.). Ensures consistent university branding and messaging to promote the university at events.
- Create and maintain key event calendar for the SHS to manage priorities and bring stakeholders together.
- Assists the SHS Sr. Assistant Dean for Advancement in strategic planning and implementation of alumni activities (program alumni groups / school alumni association board, alumni events, volunteer tracking, etc.) to build out the SHS alumni network and keep alumni engaged.
- Assists the SHS Sr. Assistant Dean for Advancement in annual giving efforts for the School (Pacific Gives, stewardship of gifts through letters/cards/etc.)
- Assists the SHS Sr. Assistant Dean for Advancement in stewardship of endowments and scholarships (student thank you letters, reports to donors, etc.)
- Performs other duties as assigned.
Minimum Qualifications:
- Bachelors Degree.
- Three (3) years of experience in events management.
Preferred Qualifications:
- Five (5) years of experience in client/student support.
- Ability to use MS Office Suite, Email, calendaring systems, database programs, project management software, and other software programs utilized by the University.
- Experience in graphic design software, digital marketing, or soliciting customer or client feedback.
- High comfort level in utilizing digital marketing and communication platforms for email, texting, or social media strategies.
- Outstanding verbal communication skills and excellent writing, editing and proofreading skills.
- Demonstrated knowledge of special event planning and coordination.
- Resourcefulness in finding appropriate solutions to problems, presenting alternatives, and implementing solutions.
- Ability to anticipate problems and take necessary action to eliminate or mitigate potential negative effects.
- Ability to be flexible in working independently as well as collaboratively with academic faculty, staff, students, alumni, donors, and volunteers.
- Initiative to organize and follow through with complex tasks to meet deadlines.
- Positive attitude, proven ability to work successfully with diverse populations and demonstrated commitment to promote and enhance diversity and inclusion.
- Ability to work under limited supervision and under pressure.
- Experience working in higher education.
- Meticulous attention to detail and outstanding organization and time-management skills.

Work Environment/Work Week/Travel:Work is primarily performed in a standard office environment. Work performed mostly during standard business hours. Some events on weekends/evenings are to be expected and will be scheduled with advance notice. Occasional travel to the Stockton and San Francisco campuses, as well as off-site locations to support recruitment and alumni events.
Hiring Range: $64,480.00 - $65,880.00 per year. We consider factors such as, but not limited to, scope and responsibilities of the position, candidates qualifications, internal equity, as well as market and organizational considerations when extending an offer.
